ALLKND LTD (ABN 33 648 161 568) (“ALLKND”, “we”, “our”, or “us”) respects your privacy and is committed to protecting your personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). This policy sets out how we collect, use, disclose and safeguard your information when you visit allknd.org, take part in Good Mate Training, attend or host a Cause Club event, subscribe to our newsletters, complete our surveys, donate, or otherwise interact with us.

1. SCOPE

This policy applies to all personal information collected by ALLKND through:
🔹 our website allknd.org (the “Site”);
🔹 our Good Mate Training platform, hosted by LearnWorlds;
🔹 Cause Club events, including our Cause Club newsletter (hosted by Kit) and the surveys we send to participants and hosts after events;
🔹 fundraising activities, events and other surveys;
🔹 any other dealings you have with us.

2. WHAT PERSONAL INFORMATION DO WE COLLECT?

Depending on how you engage with us, we may collect the following:

Good Mate Training (via LearnWorlds): Full name and email address (mandatory). Course progress, activity and quiz responses, completion and certificate records. Your organisation or team name if you complete the training as part of a group.

Cause Club newsletter (via Kit): Email address, first name, and information about how you interact with our emails, such as opens and clicks.

Cause Club participant and host surveys: Name, email address and your responses about your experience of the event. This may include information about your wellbeing or sense of connection, which we only collect with your consent. See Section 3.

Testimonials: Your first name, the words you have agreed to share, and a photo if you provide one.

Donations and fundraising: Full name, email, phone number, billing address, donation amount and payment details (handled by our secure payment processor; we do not store full card numbers).

General enquiries and events: Name, email, phone, organisation, and any information you voluntarily provide.

Website browsing: Device and usage data (cookies, IP address, browser type) collected via analytics services to improve our Site.

We do not knowingly collect personal information from children under 15 without parental consent.

3. SENSITIVE INFORMATION

Some of our surveys may ask about your wellbeing or sense of social connection. Under the Privacy Act, information about your health, including your mental health, is sensitive information. We only collect it with your consent, questions of this kind are always optional, and we only use your answers for the purposes explained in this policy.

4. HOW DO WE COLLECT PERSONAL INFORMATION?

🔹 Directly from you when you sign up for Good Mate Training, subscribe to a newsletter, complete a form or survey, make a donation, email or phone us, or attend or host an event.
🔹 Through the platforms we use to deliver our programs, such as LearnWorlds and Kit, which record how you use them (for example, course progress or email opens).
🔹 Automatically through cookies and similar technologies when you browse the Site (see Section 11).

5. WHY DO WE COLLECT AND USE YOUR PERSONAL INFORMATION?

We collect, hold, use and disclose personal information to:
🔹 provide and administer the Good Mate Training program;
🔹 send course updates, certificates and resources you request;
🔹 run Cause Club events and send the Cause Club newsletter to people who have subscribed;
🔹 process donations and issue tax-deductible receipts (ALLKND is a registered charity with DGR status; donations over $2 are tax-deductible);
🔹 manage events, volunteering and community programs;
🔹 respond to enquiries, feedback and complaints;
🔹 measure and evaluate the impact of our programs, and report on this to funders and partners in aggregated, de-identified form;
🔹 share testimonials, but only where you have given us express consent to do so;
🔹 conduct research and evaluation to improve our services;
🔹 send marketing and fundraising communications that we think may interest you (you can opt out at any time);
🔹 comply with legal and regulatory obligations.

6. HOW WE USE SURVEY RESPONSES AND IMPACT DATA

After Cause Club events we send short surveys to participants and hosts. We use the responses to understand how our programs are working and where we can improve them.

When we report on our impact, we use aggregated and de-identified information. We never publish your name, email address or anything else that could identify you.

The only exception is testimonials. If we would like to share something you have told us, we will ask you separately, explain where and how it will be used, and only publish it with your agreement. You can withdraw your consent at any time by contacting us, and we will stop using your testimonial in future materials. We may not be able to recall materials that have already been printed or distributed.

7. USE OF AI TOOLS

We use AI tools, including Claude (made by Anthropic), to help us analyse survey responses and program data for impact measurement. We use these tools on terms under which our data is not used to train AI models. We do not use AI tools to make decisions about individuals.

8. TO WHOM DO WE DISCLOSE PERSONAL INFORMATION?

We may disclose your information to:
🔹 trusted service providers who help us operate our charity, including LearnWorlds (Good Mate Training platform), Kit (email newsletters), Anthropic (AI tools used for impact analysis), Notion, web hosts, payment processors and analytics providers;
🔹 professional advisers (lawyers, accountants) where necessary;
🔹 regulators, government agencies or law enforcement where required by law;
🔹 other third parties with your express consent.

We choose service providers who are required to protect your information and who may not use it for their own purposes.

We do not sell your personal information.

9. CROSS-BORDER DISCLOSURES

Some of our service providers store or process data overseas, including in the United States (such as Kit, Anthropic and Google) and the European Union (such as LearnWorlds). Where we transfer data outside Australia, we take reasonable steps to ensure the recipient protects it in a way that is consistent with the Australian Privacy Principles.

10. SECURITY

We store personal information on secure servers located in Australia or with trusted cloud providers that use industry-standard encryption and access controls. We limit access to personal information to the people who need it to do their work. While no system is completely secure, we take reasonable steps to protect your information from misuse, interference, loss, unauthorised access, modification or disclosure.

11. COOKIES AND ANALYTICS

The Site uses cookies and similar technologies to:
🔹 remember your preferences;
🔹 measure traffic and usage patterns through tools such as Google Analytics and Meta Pixel;
🔹 improve our content and marketing.

You can disable cookies through your browser settings, but this may affect how the Site works.

12. DIRECT MARKETING AND NEWSLETTERS

We may send you emails about Good Mate Training, Cause Club events, fundraising and resources. If you subscribe to the Cause Club newsletter, we will send you updates about upcoming events and ways to get involved. We only add you to a newsletter if you have signed up to it or you have RSVP’d yes to a Cause Club event.

You can unsubscribe at any time by clicking the link in any of our emails or by contacting us.

13. ACCESS AND CORRECTION

You may request access to, or correction of, the personal information we hold about you at any time by contacting our Privacy Officer (details in Section 15). We will respond within 30 days. If we refuse access, we will give you written reasons.

14. DATA RETENTION

We keep personal information for as long as we need it for the purpose it was collected, or as required by law (for example, taxation and charity regulation). When we no longer need it, we securely delete or de-identify it.

If you believe we have breached the APPs, please contact us in writing. We will respond within 30 days.

16. NOTIFIABLE DATA BREACHES

If a data breach occurs that is likely to result in serious harm, we will notify affected individuals and the OAIC in accordance with the Notifiable Data Breaches scheme.

17. CHANGES TO THIS POLICY

We may update this Privacy Policy to reflect changes to our practices or legal requirements. The latest version will always be available on allknd.org and will take effect from the date it is posted.

18. ACKNOWLEDGEMENT OF COUNTRY

ALLKND acknowledges the Traditional Custodians of Country throughout Australia and their continuing connections to land, sea and community wellbeing. We pay our respects to Elders past and present.
